A well-designed journey

You can usually tell when a school has its enrolment journey right. A family makes their first enquiry. They're invited to a tour, receive a thoughtful follow-up that meets them where they are in their decision-making, and stay loosely engaged through information evenings and well-timed updates as the entry year approaches. When the time comes to attend an interview, accept an offer and prepare for the first day, every email, form and reminder lands at the right moment. By the time their child walks through the gate, they already feel part of your school community.

That's a well-designed enrolment journey. It feels effortless to the family, although it rarely is for the school behind it.

Behind the scenes, that experience is the result of dozens of decisions: who sends what, when, in response to which trigger, on which platform, in what tone. Some of those decisions live in someone's head. Some sit in spreadsheets that haven't been updated in years. A few are documented properly. And, unfortunately, occasionally a family slips through a quiet gap because no single person owned it.

After working with many admissions teams, we've come to see this as a visibility issue more than a process one. It's difficult to redesign a journey when no single view of it exists.

That's the gap our Enrolment Journey Cards were designed to close.

The whole process on one table

The Enrolment Journey Cards are a physical deck that allows your team to map your school's entire admissions process across six clear stages: Awareness, Consideration, Commitment, Waiting, Onboard, and Advocacy.

The deck includes 48 task and action cards covering the touchpoints most schools already use – tours, application forms, offer letters, orientation events — alongside several you may not yet have considered. Date cards allow you to position each task on a timeline. A set of blank cards lets you add the activities that are unique to your school. Set them out across a meeting room table and your full enrolment journey becomes visible at a glance.

That visibility is the point. Software is excellent at executing your enrolment journey. It's not always the right tool for designing it. Laying every step out side by side, in front of the team that runs them, surfaces gaps and overlaps that no flowchart or list view will.

What schools discover when they use the deck

Two patterns tend to emerge.

The first is duplication: the same family being contacted multiple times in a short window by different staff members, simply because no one had the full picture. The second is silence: long stretches in the journey, particularly during the Waiting stage, when families hear nothing for weeks at a time. Both are easy to miss when activity is spread across multiple inboxes and platforms. Both become obvious within minutes of laying the cards out.

From there, the conversation tends to turn practical. Where should the birthday card sit? Should the Year 5 information evening run before or after the entrance exam? What communications go to accepted families between November and February? The cards don't answer those questions. They ensure the right questions are asked.
