Choosing an enrolments platform? Count the hours after the application

When a school compares enrolment platforms, the demo usually starts with the application form. The hours your team will actually spend sit further along, in interviews, offers, acceptances and getting each new student into your SIS.

Where the admin time really goes

An enquiry takes seconds to capture. What follows can take a registrar's week. Every applicant needs an interview time that suits the family and the interviewer. Every offer needs a letter, a signature and a deposit. Every acceptance needs to end up in the student information system, correctly.

When those steps run through email threads, a calendar and a spreadsheet, the work multiplies quietly. A family asks to move their interview. An offer letter goes out with last year's fee.

So when you're comparing platforms, ask each vendor to walk you through what happens after the enquiry, step by step, and calculate how long each step may take your team.

The numbers behind the time savings

We can put figures on the steps EnrolHQ takes off your team's plate.

Families book their own interview time from the Enrolment Dashboard, which removes the back-and-forth of scheduling. That saves around 15 minutes of admin per applicant.

Offers are generated automatically and accepted online, saving an average of 30 minutes per offer issued and another 30 minutes per acceptance processed.

For a school processing 350 applications a year, that typically adds up to more than 360 hours of administration, or over nine full working weeks. That's time your team gets back for the families who need a person on the other end.

When another platform tells you it saves time, ask which steps and how many minutes.

SIS integration that removes manual entry

When a family accepts, their details need to move into your student information system. If someone has to retype them, you've paid for the same data twice and added a chance for errors in a student's record.

EnrolHQ syncs accepted students directly into the SIS your school already uses, including Sentral, Compass, Synergetic, TASS, Edumate, Veracross, Engage, FACTS and Kamar. Fields are mapped during setup, so the record a family completes is the record your school starts the year with.

It's worth asking exactly how a new student's record gets from the enrolment system into your SIS, and who does that work.

One platform for the whole enrolment journey

EnrolHQ covers enquiry, application, interview scheduling, offer, acceptance and fee collection in one system. Payments run through the gateway your school already uses, whether that's one of the major banks, Stripe, Fat Zebra or School EasyPay.

Platforms built mainly around the enquiry stage often leave schools to add separate tools for offer letters, e-signatures and payments. Each extra tool is another login, another export and another place a family's details can fall out of step. It also means reconciling records across systems at the busiest time of year.

Questions to ask before you choose

A short list of questions does most of the work:

  • How do families book interviews, and who reschedules them?
  • How are offers managed, generated, signed and paid for?
  • How does an accepted student's record reach our SIS, and does anyone need to manually enter data?

The answers tell you where your team's hours will go for years after the contract is signed. Count those hours, not just the features on the first screen.
