Where the handoff breaks down
An event is rarely the end of a family's interest. It's usually the start, or a nudge partway through. A family who tours the campus or turns up to an info evening has told you something the rest of your enquiry list hasn't: they were interested enough to show up.
The trouble is what happens to that signal afterwards. The event lives in one system and the enrolment record lives in another, so someone has to move the data across, usually a few days later. Names get typed in slightly differently. A parent who registered under one email and enquired under another becomes two records instead of one. The attendee list is often just a spreadsheet, accurate for exactly as long as nobody touches it again.
What gets lost along the way
Split the event and the enrolment record across two systems and four things tend to go with it.
Conversion visibility is the first. Without the event tied to a student record in the same system, there's no clean way to see who actually progressed after showing up. A well-attended tour is a marketing win, not a converted family, until you can trace someone from registration through to application and offer.
Timely follow-up is the second. The email that goes out three days after an event is a different email to the one sent that same afternoon. By the time someone exports the list, checks it against the no-shows, and drafts a message, the family has often moved on.
Clean data is the third. A parent already in your system who registers for an event under a slightly different name doesn't get recognised. They get duplicated instead, and someone eventually has to notice the second record and merge it back.
One picture of the family is the fourth. A family who's toured, enquired, and started an application should read as one continuous story. Split across two systems, it reads as three disconnected ones, and whoever picks up the phone next has to reconstruct the history before they can have a useful conversation.
