1. Roll up waitlists using the Bulk Action tool
Updating waitlisted students one by one wastes time. The Bulk Action tool rolls them all up in one pass.
Roll Up is especially useful as a new school year begins. Moving a group of waitlisted Year 7 students up to Year 8 takes a couple of clicks instead of manually updating each profile.
Roll Down works the same way in reverse, for schools that need to move a group of students back a year level.
Select multiple profiles, then go to Bulk Actions > Roll Up or Roll Down to apply either in bulk. Every change is logged in the Audit Log.
2. Review your email templates
Use any quiet period at the start of the year to review your email templates. Check they're current and accurate for prospective students and their families. Cut leftover references to last year's dates or details.

3. Update your Parent Dashboard, tours and downloads
Check your Parent Dashboard announcements for outdated information, like dates from the previous year.
This is also the time to upload your scheduled tours and any PDF documents gated behind the lead generation tool. If your fees have changed, update those too.
4. Disable departed staff
Disable any staff accounts for people who've left your school, so only current, authorised staff members have access to EnrolHQ. You'll find this under User Management > Users. Disabling a user only restricts their future access. It doesn't remove their audit log or notes.
5. Review your custom forms
Update your custom forms to collect the information you need from applicants for the new year. Any edits you save retain a version number against the data collected, so you can track what changed and when.
6. Review open/close settings for year levels
Stay in control of which year levels are accepting applications by reviewing the open/close settings under Settings > Year of Entry Settings. This stops applications coming in for year levels that are oversubscribed or closed.
7. Send an 'Intent to Proceed' email with a custom form
Kick off the year by reaching out to applicants sitting at application stage or below. Send an 'Intent to Proceed' email prompting families to confirm contact details and flag any change in circumstances. It gives you a more realistic read on your pipeline.
Run through these seven checks before applications open. Your team starts the term with accurate data instead of last year's leftovers.
