Automated Emails

EnrolHQ sends automated email notifications triggered by carer and staff actions, including form submissions and payments.

The following templates are part of the enrolment process and cannot be turned off:

  • Account Email Verification.
  • Enquiry Carer: confirmation form submission.
  • Event Booking Carer: confirmation form submission.
  • Expression of Interest Acknowledgement Carer: confirmation form submission.
  • Enrolment Form Submitted Carer: confirmation form submission.
  • Enrolment Offer Accept Link: asking the non-user carer to sign the offer.
  • Enrolment Offer Accepted By Second Carer To First Carer: asking the carer to sign the offer after the non-user carer finishes theirs.
  • Enrolment Offer Accepted Carer: confirmation offer accepted.
  • Payment Receipt: confirmation payment received.
  • Interview Booked Carer: confirmation interview booked.
  • Interview Booking Cancelled Carer: confirmation interview cancellation.

Build additional email automations using various triggers in the Automations module.

Schools can alert carers when an offer has expired, send an automatic follow-up email after an event, follow up on an incomplete application, and add automatic reminders for an event or enrolment expiry.

Create the email to send through an automation

Go to Email Settings > Templates > Custom.

View commonly used merge tags here to use in the email.

Link to a video or add an attachment if needed.

Choose whether the email sends to Carer 1, Carer 2, or both.

Using conditional logic in emails

Send different email content based on grade of entry, program of interest, or year of entry with If logic. Read this article for how to use If logic to send different content based on different criteria.

Set up when the email sends

Navigate to Automations.

  • Name: give the automation a name, for example "Offer Expired - Carer Notification".
  • Carer Template: choose the Custom Template with the "Offer Expired" message to send to the carer.
  • Staff Template: choose a template with a message for staff, if staff also need a notification.
  • Trigger Event: choose what has to happen for the email to send.
  • Cancel Events: if a carer or staff member completes this action within the Delay period, the automation stops sending.
  • Delay: set how many hours after the Trigger Event to send the automation. Put 0 to send the email straight away.
  • Choose Automation Recipients: set criteria for who receives the email, including Student Profile Categories (SPCs).

Automation Examples

Example 1: Offer expiry reminder
  • Template: Carer offer expiry reminder.
  • Trigger Event: Offer expiry reminder.
  • Cancel Event: None.
  • Delay: 0.

Set "Trigger Reminder This Number Of Hours Before An Offer Expiration" to 168 (7 days) to choose how long before the expiry date to send this reminder.

Send a reminder 1 week before the enrolment offer expires.

If a carer has not accepted the offer of enrolment with 7 days left before it expires, the automated email sends.

Example 2: Open Day no-show follow-up
  • Template: Carer did not attend booking for Open Day.
  • Trigger Event: Event No-Show, Event Type - Open Day.
  • Cancel Event: None.
  • Delay: 4.

Send an automated email 4 hours after an Open Day to carers who did not attend, asking them to book into a new event. Set the Trigger Event to Event No-Show, choose the event type, and set the Delay to 4 hours. If a carer's attendance status is not attended, the automated email sends 4 hours after the event.

Example 3: Staff alert for Open Day attendees who haven't applied
  • Template: Staff.
  • Trigger Event: Event Attended, Event Type - Open Day.
  • Cancel Event: Application Form Enrolment Started.
  • Delay: 168.

Notify school staff that a carer attended an Open Day but has not started an application 1 week later.

Example 4: Incomplete application reminder
  • Template: Carer incomplete application reminder.
  • Trigger Event: Application Form Started.
  • Cancel Event: Application Form Submitted and Paid.
  • Delay: 168.

Send an email when the enrolment form is not completed a week after the carer starts it.

Set the Trigger Event to Enrolment Form Started, the Cancel Event to Enrolment Form Submitted, and the Delay to 168 hours (7 days).

If a carer does not submit the enrolment form within 7 days of starting it, the automated email sends.
