EnrolHQ now has a SharePoint sync which transfers student documents from EnrolHQ into your school's SharePoint environment with a single button click.

This feature operates independently from SIS integrations, so is a valuable feature for schools that can’t sync documents to their SIS.

What gets transferred

The sync supports two categories of documents:

User-uploaded documents: Birth Certificates, Immunisation History Statements, School Reports, NAPLAN Results, Medical Reports, and Diverse Learning Reports.

EnrolHQ-generated documents: Application for Enrolment, Acceptance of Place, Custom Form PDFs (such as onboarding forms), Interview Notes, and Communication Log Summaries.

How it works

During setup, you define your folder structure using student variables (external ID, last name, first name, date of birth, graduation year, entry grade, and entry year) that EnrolHQ populates per student. You also configure document categories using a JSON structure – for example, Medical, Learning, Confidential, and Enrolment Docs – each containing the document types that belong to them.

Once that's in place, triggering the sync is a single step: click "Sync SharePoint" on the student's profile. EnrolHQ transfers all verified documents for that student and routes each one into the correct category folder based on its type.

Setup

Setup requires credentials from the Microsoft Entra admin centre — specifically a Tenant ID, Client ID, Client Secret, and your SharePoint Site ID and Drive ID. Your ICT team will be able to pull these from Entra, and our team can walk you through the configuration.
